Steps to enable BillPay


Prerequisites and considerations

BillPay requires XiPay. You must have XiPay environment(s) already created in order to create the Merchant Division(s).

If using the Batch API, XiTransfer is also required.

Review all of the configuration items in Step 3 below to determine which options should be enabled.

oThe features required in Step 3 are determined by the Contract as well as the Client's business needs.

oSome selections affect what displays on the BillPay Configuration pages/tabs. Those fields have an Information icon ( infoiconblue ) so you can easily distinguish them.

NOTE: once the BillPay initial Onboarding request has been processed, if there is a change to any of the following settings, they are saved directly to BillPay once you click Review and Finish in the Merchant Wizard. They do not require the additional Onboarding Setup request to be processed.

Steps to enable BillPay

Some selections affect what displays on the BillPay Configuration pages/tabs. Those fields have an Information icon ( infoiconblue ) so you can easily distinguish them.

The items that have additional configuration settings on BillPay Configuration page are not enabled by default. That page must be reviewed and configured by the Merchant and B2B Payments consultant.

TIP: If you are editing a Merchant and there is an option that is grayed-out, simply mouseover the setting to view a tool tip indicating why.

Step 1:

Choose to either add or edit existing Merchant to launch the Wizard.

Step 2:

Click Services tab, select the following checkboxes:

XiPay and associated settings

BillPay

If Merchant will be using the Batch API, select XiTransfer as well. Check with the Integrations Consultant if necessary.

Step 3:

Click the BillPay tab; there are multiple selections that affect what displays for BillPay Configuration. These are noted where applicable.

TIP: If you are editing a Merchant and there is an option that is grayed-out, simply mouseover the setting to view a tool tip indicating why.

Ability to Export

oAllows the Merchant to export reports.

oIf you modify the Export Limit setting once the BillPay environment(s) are established, the updates are made directly in BillPay without submitting and processing an Onboarding Setup request.

Multi Language Support

oAllows the Merchant to configure whether to use the browser locale or select from a dropdown of languages for the BillPay Portal.

oIf not selected, BillPay Portal defaults to U.S. English.

oIf you modify the Multi Language Support setting once the BillPay environment(s) are established, the updates are made directly in BillPay without submitting and processing an Onboarding Setup request.

Near Real-Time (RESTful API) infoiconblue

oAllows the Merchant to perform real-time API calls to the BillPay platform.

oNote that Batch API is standard for all BillPay Merchants and requires XiTransfer to uploaded/download the batch files.

oThe REST IP fields will not display on the Settings | BillPay: Configuration | General tab if it is not enabled by B2B Payments in the Merchant's profile.

oIf you modify the Near Real-Time (RESTful API) setting once the BillPay environment(s) are established, the updates are made directly in BillPay without submitting and processing an Onboarding Setup request.

Single Sign-On

oAllows the Merchant to configure single sign-on.

oIf enabled, the Single Sign-On tab displays on the Settings | BillPay: Configuration page.

External Invoice PDF

oAllows the Merchant to enable PDFs for invoices.

Buyer Notifications

oAllows the Merchant to configure email and print-to-mail notifications.

 

Users:

# of Buyer Users

oInformational only. Does not affect how many users can be created.

# of Merchant Users

oInformational only. Does not affect how many users can be created. The number of Merchant users is controlled by the Max Portal Users on the Merchant tab in the Wizard.

 

Payments:

Transaction Credits infoiconblue

oAllows the Merchant to configure whether or not credits can be performed.

oA credit generates a new transaction with a negative amount. Can only be performed against a settled transaction.

oFor SAP implementations, this NOT currently supported and should not be enabled. SAP can handle credit invoices which does not require BillPay platform configuration. It is handled on the SAP side.

oThe option will not display on the Settings | BillPay: Configuration | Payments tab if it is not selected in the Merchant's profile.

FSA infoiconblue

oAllows the Merchant to configure if they want to accept FSA (flexible spending account) payments.

oThe option will not display on the Settings | BillPay: Configuration | Payments (enhanced) tab if it is not selected in the Merchant's profile.

Void infoiconblue

oAllows the Merchant to configure whether or not voids can be performed.

oVoid is essentially cancelling an authorized transaction.

oThe option will not display on the Settings | BillPay: Configuration | Payments (enhanced) tab if it is not selected in the Merchant's profile.

Residual Payments infoiconblue

oAllows the Merchant to configure if they want to accept partial payments against an invoice.

oFor SAP implementations, you will only enable either Residual or Partial payments, not both.

oNOTE: If Partial payments is already configured for existing Merchant, the option will be grayed-out. You have to disable setting on BillPay Configuration and process a Onboarding request before you can disable it in the Wizard.

oThe option will not display on the Settings | BillPay: Configuration | Payments (enhanced) tab if it is not selected in the Merchant's profile.

Partial Payments infoiconblue

oAllows the Merchant to configure if they want to accept partial payments against an invoice.

oFor SAP implementations, you will only enable either Partial or Residual payments, not both.

oThe option will not display on the Settings | BillPay: Configuration | Payments (enhanced) tab if it is not selected in the Merchant's profile.

Scheduled Payments infoiconblue

oAllows the Merchant to configure if they want to accept a one-time future payment or installment payments.

oThis option and the associate fields will not display on the Settings | BillPay: Configuration | Payments (enhanced) tab if it is not enabled by B2B Payments in the Merchant's profile.

PrePayments infoiconblue

oAllows the merchant to configure if they want to allow payments that are not associated to an invoice.

oThis option will not display on the Settings | BillPay: Configuration | Payments (enhanced) tab if it is not enabled by B2B Payments in the Merchant's profile.

Surcharge infoiconblue

oAllows the merchant to configure surcharges.

oThis option will not display on the Settings | BillPay: Configuration | Payments (enhanced) tab if it is not enabled by B2B Payments in the Merchant's profile.

Convenience Fee infoiconblue

oAllows the merchant to configure convenience fees.

oThis option will not display on the Settings | BillPay: Configuration | Payments (enhanced) tab if it is not enabled by B2B Payments in the Merchant's profile.

Level 3 infoiconblue

oAllows the merchant to configure Level 3.

oThis option will not display on the Settings | BillPay: Configuration | Payments (enhanced) tab if it is not enabled by B2B Payments in the Merchant's profile.

Customization:

Allow Custom Invoice Fields infoiconblue

oAllows the Merchant to define Custom Fields.

oIf neither this nor the "Subsidiaries" option is selected, the Custom Data tab will not display on the BillPay: Configuration page.

oControls whether the Invoice Fields section displays on the Custom Data tab.

oAllow Merchant to Accept Payments

oControls whether the Merchant user can make payments

Allow Merchant to Accept Payments infoiconblue

oAllows the Merchant to configure whether Merchant users can make payments in BillPay.

oThis field MUST be selected for non-Buyer scenarios or no payments can be made.

oThe option will not display on the Settings | BillPay: Configuration | Payments (enhanced) tab if it is not selected in the Merchant's profile. It must be enabled on the BilPay Configuration page as well for a Merchant user to be able to submit payments.

Subsidiaries infoiconblue

oAllows the Merchant to define subsidiaries as an additional method of grouping invoices and transactions. Merchant user permissions are set at the subsidiary level.

oIf neither this nor the "Allows Custom Invoice Fields" option is selected, the Custom Data tab will not display on the BillPay: Configuration page.

oControls whether the Subsidiaries fields section displays on the Custom Data tab.

oYou should not implement both subsidiaries and single sign-on functionality.

Custom Roles infoiconblue

oAllows the Merchant to configure their own BillPay roles.

oThe BillPay Roles page will not display if this option is not selected.

oThis option will be grayed-out if the Merchant has already created Custom Roles and assigned one to either a Merchant or Buyer User.

oIf you modify the Custom Roles setting once the BillPay environment(s) are established, the updates are made directly in BillPay without submitting and processing an Onboarding Setup request.

Customize Receipts infoiconblue

oAllows the Merchant to customize which fields they want to display on the Receipts.

oIf neither this nor the "Email Receipts" checkbox is selected, the Receipts tab will not display on the BillPay: Configuration page.

Email Receipts infoiconblue

oAllows the Merchant to email receipts to either the User making the payment or to enter an email address for the receipt if being made by a Merchant User.

oIf neither this nor the "Customize Receipts" checkbox is selected, the Receipts tab will not display on the BillPay: Configuration page.

Activity Reporting infoiconblue

oAllows the Merchant to configure the Activity Report in BillPay that provides transaction counts and scheduled payment counts by user.

oIf this is not selected, the BillPay: Teams page will not be available under the Settings menu and the Activity Reporting checkbox will not be available on the BillPay Roles page when you click edit next to Merchant Custom Roles.

Display Custom Message infoiconblue

oAllows the Merchant to configure a custom message that displays in BillPay. This will display on the user's landing page.

oThe message will display every time a user logs in.
